About the Job
The Office Manager & Special Projects Coordinator is a critical, in-person role that supports the operations of the business and ensures that every team member is enabled to do their best work. You will also lead the coordination of special projects, which allow our business to grow and develop in new and unique ways. As Office Manager, you are expected to be in our New York City Office daily to handle any needs in the physical space, while also supporting our hybrid and remote teams when they are not in the office.
Given the evolving nature of work today, you are someone who is agile, adaptable, technologically savvy and a self-starter who is not afraid to learn independently in order to tackle projects you have no prior experience with. You'll also be exposed to the full spectrum of services that RG offers, developing as a Marketer while handling your operational responsibilities.
Responsibilities
- Manage all aspects of the company's physical space including, liaising with building management, inventorying and acquiring office supplies, managing office moves, coordinating with cleaning personnel, monitoring and managing conference room utilization, assisting with technology in office.
- Monitor and manage employee workstations to ensure everyone has what they need to do their best work, both in the office and remotely.
- Serve as the office ambassador, getting clients and visiting guests cleared through security and ensuring they get situated into the office comfortably.
- Coordinate, and in many cases lead, special projects including client events, employee engagement programs, charitable events and volunteer opportunities,
- Manage the above through an RG master calendar used as community point of reference for what's happening.
- Manage all inbound and outbound mail, and help ship client, partner and employee gifts when needed.
- Support the management of the Management team's calendars and other administrative needs, including ensuring that all key contacts are added to the HubSpot CRM.
- Help manage the CEO’s day, ensuring that as ad-hoc appointments pop-up other meetings and obligations are canceled/rescheduled and communicated, as well as looking ahead to ensure that any conflicts are dealt with before they become an issue.
